Pick a low-risk task
Start with a repetitive task where you can review the result, such as a draft agenda or summary of fictional notes. Define success before using AI: less time, clearer output or fewer omissions. Follow your organisation’s approved-tool and data-handling rules.

Potential tasks: summarise dummy meeting notes or automatically decide staff promotions.

Start with the dummy summary: it is bounded and reviewable. Do not automate consequential employment decisions from this workshop.

Create a usable draft
Give context, audience and output requirements. Ask the tool to distinguish explicit facts from assumptions, and check the draft against the source. Never assume an action or decision happened merely because AI included it.
Worked exampleInput
Notes say Sam checks room availability with no deadline.
Reviewed result
Action: “Check room availability — Sam — due date not agreed.” Paid advertising remains “no decision”.
Extract what was actually agreed. Do not turn a discussion into a decision or invent dates.
Quick check: Does checking availability mean the room is booked?
No. Those are different actions.

Measure and repeat
Compare the reviewed AI-assisted result with a manual baseline. Include review and correction time in your measurement. Save a reusable prompt or checklist only after it works on more than one example, and stop using the approach if quality suffers.

Manual: 15 minutes; AI draft: 2; review: 6.
Reviewed result
Assisted total: 8 minutes. Saving: 7 minutes, if the reviewed output meets the same quality target.
Record both time and corrections. A second example tests whether the improvement repeats.

Test and measure a second example
Use the changed notes where Alex is away and the event date is unconfirmed. Record draft and review time rather than reusing the first timings as if measured.
Worked exampleA reusable workflow asks for missing owners or dates and leaves the summary as a draft until checked by the meeting organiser.
Your activityCreate a before/after log and decide what you would reuse. Label supplied timing data separately from your own measurements.

Automatic assessment and certificate
Five knowledge questions and three applied scenario checks are marked immediately. Pass with at least 4/5 knowledge answers and all 3/3 applied checks correct. Feedback and retries are available. Certificates also require five completed activities and a four-section workbook. The portfolio is recorded, not independently graded; the assessment is open-book, unproctored and non-accredited.
